Job overview
The Radiology Department at NNUH has a vacancy for a highly motivated person with exceptional attention to detail to join our small team of Radiology Secretaries in a combined role that has a primary focus on managing our consultant roster.
The role of Roster Lead and Senior Radiology Medical Secretary is a full-time position, based at the Norfolk & Norwich University Hospital. The principal responsibility of this role is to build and maintain our Consultant Rosters, but also to provide high quality secretarial and PA support to our Consultant Team.
Candidates will be self-motivated and possess an RSA II qualification (or equivalent), along with an AMSPAR certificate or comparable medical secretarial experience. Rostering experience is not essential but would be highly beneficial.
The successful applicant will have good time management and IT skills. You will be able to manage your daily workload, working flexibly as the needs of the department dictates, and will have a good working knowledge of Microsoft Office applications including Word and Excel.
You will be able to demonstrate a high level of tact, diplomacy and persuasive skills while dealing with all forms of enquiries from staff within the Trust, outside the hospital, and patients, in a confidential manner and understanding the need for patient confidentiality, either in person or over the telephone.
Full time: 37.5 hours per week

As the successful post holder, you will be responsible for the delivery and administration of clinical and on call rosters for Radiology Department Consultants, and provide a comprehensive PA and secretarial service to Consultants Radiologists.
It is a requirement of this role to be on site. However once fully trained and sufficiently experienced a weekly hybrid working pattern, combing days onsite at NNUH and at home can be considered.
This is a rare opportunity to join a small secretarial team of 10 within the Radiology Department with a unique position, combing two roles and providing personal development opportunities to expand knowledge and understanding of both these areas.
There is the opportunity to identify areas for improvements to develop the service provision of the Consultants Rosters, and lead on implementing any agreed changes.

Detailed job description and main responsibilities
- Lead in the production of the departmental consultant rota, highlighting and actioning any potential shortfalls ensuring appropriate allocation of consultant cover to meet the needs of the service users.
- Manage rotas, identifying how workforce can be effectively utilised across multiple locations, and ensuring that any rota changes maintain appropriate levels of cover and maintain the most efficient use of resources available.
- Identify and mitigate any risks to service and escalating any concerns to the Support Services Manager and Chief of Imaging.
- Responsibility for creating and maintaining the rota Standard Operating Procedure document (SOP) to include instructions detailing all aspects of how the Consultant rotas are created, maintained, and distributed, and departmental rules relating to leave booking for consultant staff. Accountable for ensuring this is accurate and up to date and shared with appropriate members of staff.
- Responsible for the timely distribution of Radiology rota to relevant areas and services users and accountable for ensuring the rota distribution list is maintained and updated as necessary.
- Accountable for rota changes, requests and negotiating absence cover, and ensuring that these are actioned within KPIs and ensuring all clinical commitments are covered.

Travelling to work
Staff parking is available onsite; however, this is limited during core working hours. We have more capacity in the evening and at weekends and can usually provide spaces during those hours.
We look to allocate these spaces fairly. Our Travel Office have a set of criteria that staff must meet in order to qualify. If you qualify for a space, you may be placed on a waiting list if we are at full capacity.
The NNUH is served by a number of public buses, and we offer generously discounted monthly passes with First Bus & Konect.
The Costessey Park and Ride runs regularly each day from 06:30 (from P&R) to 20:45 (from NNUH) and this service is free for NHS staff. There is a regular Thickthorn P&R service as well which is free. Applications to the Travel Office are required for this service. We also have a discounted service from the airport P&R if you purchase a bundle. Please see Konect website for further details.
The NNUH host multiple bicycle racks and a salary sacrifice scheme. We also benefit from a Beryl station onsite.
