You will be motivated, enthusiastic, have good communication skills and work well within a team. The maintenance of patient confidentiality and excellent customer care skills are essential to this post.

The job role requires you to cover absent colleagues' annual leave and sickness episodes. These can be at extremely short notice.
Advert
1. Collect and deliver Health Records for a variety of purposes as required from filing locations, wards and departments across the Trust ensuring they are appropriately prepared for the intended purpose including the accurate filing of documentation.
2. Ensure that all Health Record movements and locations are accurately recorded on Trust systems e.g. Patient Administration System (PAS)
3. Add and update patients’ demographic information and attendance details both on Trust systems e.g. PAS and within the Health Record ensuring both the accuracy and completeness of the information recorded.
4. Sort and file referrals received into the department in readiness for filing into the Health Record during preparation stage.
5. Accurately sort and file Health Records using both numeric and alpha orders e.g.
- as part of the clinic preparation process.
- when returning Health Records to the departmental storage areas

Detailed job description and main responsibilities
1. Sort and appropriately action post coming into the department.
2. Handle queries and complaints in a timely and sympathetic manner calling upon the advice and assistance of the MRTM/MRM as appropriate.
3. To undertake any other ad-hoc activities as directed by the MRTM/MRM
Personal
1. The post holder will be required to undertake all duties allocated in a timely and satisfactory manner acting as an integral member of their assigned team.
2. Adhere to the Medical Records Procedure Manual and Training Plan correcting in good time any errors discovered to the satisfaction of the MRTM/MRM.
3. All post holders must be involved in and adaptable to future changes in the scope and location of their role, supporting health records processes and being receptive to change as the Trust’s EPR and EDMS solutions develop and mature over time.
Updating patient’s details in their Health Record Folder and on the Trust’s PAS system.

You are encouraged where possible, to register for the DBS update service. This is an annual registration fee of £13. By registering for the update service you will not have the additional cost of repeated disclosures.
Should you withdraw your application, you may be required to reimburse the cost of the DBS check.
DBS checks remain free of charge for volunteer positions.
