Job overview
We are looking for a confident Compliance Advisor with a passion for great customer service to join our friendly and supportive team, based in central London, on a 12-month fixed term contract.
Advert
The postholder will support the trust by monitoring pre and post-employment compliance checks for all staffing groups, in line with NHS employer standards. This includes, right to work checks, visa applications and extensions, professional registration checks and more.
You will have excellent communication skills, to effectively support managers and staff members with any employment check queries. This will be in line with current legislation, best practise and local standard operating procedures.
You will be confident in working in a target driven environment and understand the importance of meeting compliance related KPI’s, to ensure databases are effectively maintained.
It would be advantageous to have a working knowledge of Human Resource / Recruitment systems such as ESR and Trac as well as Excel and Outlook.

Detailed job description and main responsibilities
General Duties
- Actively promote a team culture dedicated to the customer experience.
- Demonstrate an understanding of the Trust’s strategy in order to deliver workforce compliance objectives and targets.
Post-employment Compliance
- To be responsible for the day-to-day monitoring and compliance of the post-employment checks for our workforce (i.e., right to work checks; professional registration checks; DBS renewals and positive disclosures).
- To be responsible for the day-to-day monitoring and support to line-managers in identifying and appropriately managing the end of fixed-term contracts, secondments and internal moves.
- To ensure that workforce compliance is undertaken in accordance with standard operating procedures, in addition to NHS Employers Check Standards and guidance.
- To maintain database(s) of workforce compliance, ensuring that a clear audit trial is retained.
- To liaise with line-managers and staff to support them with the appropriate compliance processes.
Pre-employment Compliance
- To undertake an audit of Certificate of Sponsorship (CoS) prior to payment on the Sponsor Management System (SMS).
- To undertake and support with the planning and running of offline recruitment episodes.
- To undertake risk assessments for pre-employment check waivers.
- To support and process salary authorisation form requests in line with internal guidance.
- To be responsible for the handling of positive disclosures linked to pre and postemployment checks, including DBS applications.
- To advise line-managers on the withdrawal of candidate offers of employment in line with best practice.
- Where required coordination of recruitment interviews and assessment centres including consultant Advisory Appointment Committees (AACs).
Workforce Compliance Auditing
- To maintain database(s) of workforce compliance, ensuring that a clear audit trial is retained.
- To undertake regular audits of services carried out to ensure adherence to workforce compliance standards.
- To undertake an audit of Certificate of Sponsorship (CoS) prior to payment on the Sponsor Management System (SMS).
- To monitor and track compliance waivers to ensure full compliance is achieved and recorded on the appropriate database(s).
- To participate in monthly, quarterly, and annual audit reporting to governing bodies and UCLH’s internal auditor.
General Compliance
- To undertake ad-hoc compliance reviews and checks as instructed by the Team Manager.
- To produce and analyse reports on workforce compliance using our workforce systems, including ESR, Healthroster, Trac and Power BI. This will include support for data requests such as annual reports.
- To be responsible for monitoring and downloading Establishment Control (EC) forms.
- To be responsible for the upload of EC forms to Trac in line with internal guidance and templates.
- To participate in monthly, quarterly, and annual compliance reporting to governing bodies and Workforce.
- To maintain and update appropriate procedures, protocols and systems to ensure good housekeeping, quality standards and performance are maintained.
- To maintain databases and systems, as appropriate, ensuring that records and information are readily available but maintained in a confidential and secure environment.
Professional and Personal Development
- Ensure that changes to legislation and best practice are communicated and adhered to.
- To support and input into the development and updating of departmental standard operating procedures in order to reflect changes in legislation and policy.
- Act on customer feedback and ensure that you are committed to continuously improve and develop.
- Seek feedback and coaching to continually learn and develop as a professional.
- Ensure that all mandatory training and appraisals are completed on time and effectively ensuring added value to your role, the team and wider organisation.
Leadership and development
- Champion a culture based on customer experience.
- Ensure action plans to improve performance and enhance stakeholder experiences are delivered.
- Provide support to the Trust’s Equality, Diversity and Inclusion agenda and advise on compliance and recruitment related issues relating to equality, diversity and inclusion.
- Contribute towards the ongoing development of the Workforce Department’s overarching strategies and objectives.

- Degree or equivalent qualification or relevant experience in Human Resources/Workforce (e.g. Employee Relations, Recruitment) function
- Knowledge, acquired through demonstrable experience, in a range of administrative and HR procedures and processes e.g. recruitment, right to work queries, etc.
Desirable criteria
- Basic working Knowledge of NHS Terms and Conditions e.g. Agenda for Change
