Job overview
An opportunity has arisen to join the Foot & Ankle Surgery Department based at Whitegate Drive Health Centre.
You will be motivated, enthusiastic, have good communication skills and work well within a team. The maintenance of patient confidentiality and excellent customer care skills are essential to this post.
Full time position, covering Reception duties during operating hours of the service, requesting case notes from across the Trust, Audio transcription of patient letters utilising the trusts G2 system & to support an extremely busy Foot and ankle surgery service with other admin duties as dictated.

Duties will include the retrieval of Health Record Folders, updating patient’s details in their Health Record Folder and on the Trust’s PAS/EMIS system, and Reception duties, to include prepping case notes for procedures and clinics and covering Reception duties, checking-in patients for procedures and outpatient clinics.
To work as part of the busy Administration team in the Foot and Ankle department at Whitegate Drive. This includes retrieving case notes from across the Trust on a daily basis, checking in patients for outpatient clinics and day case procedures and booking appointments.
Training on the Hospital Information System, will be provided.
Qualifications: 3 GCSE passes at level C or equivalent (to include English). ECDL qualification is desirable.

Detailed job description and main responsibilities
Duties and Responsibilities (including but not limited to):
- To request patient case notes from across the Hospital and associated peripheral hospitals.
- Ensuring Health Record folders are traced to the location held on the hospital’s electronic HISS system.
- Prepare case notes for clinic/day case theatre admission.
- Reception duties to be covered in a polite and professional manner
- Admit and process patient attendance within the associated clinics
- To ensure a referral letter is available within the Health Record folder for new patients attending an outpatient appointment.
- To add and amend administrative information (e. g updating the patients demographic details) regarding patients both on the HISS/EMIS system and within Health Record folder ensuring both the accuracy and completeness of the information required.
- To correct in good time any errors discovered to the satisfaction of the Directorate Support Manager.
- Update the Hospital Information System to reflect the correct patient details
- Ensure that all duties allocated are completed in a timely and satisfactory manner
- Offer general support to the Foot & Ankle Secretary.
- Liaise with, and work in harmony with, other areas of the Trust to promote patient experience
- To be an integral member of their assigned team.
- To adhere to the Medical Records Procedures.
- Answering the phone, taking messages and acting upon the messages for both out patient and day case attendances
