We are an integrated hospital and community services healthcare organisation serving around 400,000 people in Hartlepool, Stockton and parts of County Durham. We also provide bowel and breast screening services and a number of community based services to a wider population in Teesside and Durham.
Our turnover is around £365m and we employ a number of medical, nursing, clinical and non-clinical support staff totalling approximately 5,500 people.
We operate our services from two main hospital sites, University Hospital of North Tees and University Hospital of Hartlepool.
The University Hospital of North Tees provides emergency and planned medical and surgical care, maternity services and a wide range of diagnostic services and outpatient clinics
The University Hospital of Hartlepool provides patients with a wide range of diagnostic services and outpatient clinics, day case and low risk surgery
We also run services from various other sites across the local area including Lawson Street (Stockton), One Life Centre (Hartlepool) and Peterlee Community Hospital.

Job overview
The Single Point of Access, based in the University Hospital of Hartlepool, is looking for a motivated and enthusiastic Clinical Support Officer to provide support/guidance to the Clinical Team and to support the Single Point of Access Management team in the daily operational functions of the service.
The post also comes with a requirement to travel Trust Wide to other locations, subject to the needs of the service and at times at short notice.
Applicants must possess NVQ 3 in Business Administration or Equivalent, GCSE in English Language level ‘C’ or above, good working knowledge of Microsoft Office applications, SystmOne and Trakcare patient record systems, excellent keyboard and IT skills and a minimum of 3 year’s clerical experience.

The post holder will support the Clerical Team with guidance, planning and execution of work arising from direct line management and support the development of new and existing system and services.
The post holder will also support the Service Lead / Senior Administrator’s in the daily operational processes and systems and to assist with resolving any problems that may occur within the administrative support service provided.
Excellent communication skills are also essential to this post as is the ability to work both independently and as part of a team.

Detailed job description and main responsibilities
Reporting to the Service Lead / Senior Administrator’s, the post holder will provide and develop effective, efficient administration and clerical support.
To be first point of contact, either via telephone or email, establishing the nature of the enquiry with Service Lead/Snr Administration and all Health Professionals.
Where appropriate, provide support to the clinical service in response to the needs of the service.
To support / assist with the performance targets subject to service requirement and monitoring the Patient Pathway and Referral to Treatment.
To support with the upkeep of reports, spread sheets and databases and to extract structured information on an immediate basis, when requested.
To support Senior Administrator’s with staffing rotas where necessary, ensuring adequate and appropriate cover of clinics are maintained.
To support with the application of clinical rotas and changes to rotas.
To support the Service Lead / Senior Administrator’s in service developments, supporting the consistency and timely rollout of new developments.
To keep up to date with all administrative processes and systems in use.
To prioritise own workload and that of others where appropriate, gathering information and supporting demands from Service Leads.
To support with the provision of a comprehensive administrative and clerical support service, providing advice, assist with the development of procedures and systems, and sharing good practice.
To demonstrate empathic and reassuring skills when dealing with anxious or distressed patients.
To use own judgement when problems arise and seek potential solutions for those they support.
To be prepared to make decisions on a daily basis and travel across sites if necessary, to ensure the service operates effectively.
To act as a point of contact for any information or requests for the service.
To assist with ensuring the secure records management systems are adhered to across all service sites, maintaining accurate systems of tracing and tracking for all records transferred in and out.
To support all patient records/service records are archived in line with Trust Policies and Procedures.

To assist in the Estates function by providing an effective support system with regard to equipment, general state of repair of premise/area, reporting and recording repairs/defects to appropriate agents.
To have a clear understanding of incident reporting.
To actively participate in relevant service training and mandatory training.
To support Service Lead / Senior Administrator’s with the implementation of new policies and proposed changes to working practices and procedures, within own area.
To ensure stock and non stock supplies are ordered in a timely manner ensuring the smooth running of service.
