Job overview
As a Personal Assistant, the post holder will work as part of a dynamic team in delivering an effective service supporting managers and staff across the Workforce Education and Training function in North East & Yorkshire
In particular the post holder will:
• Provide PA support to members of the senior team including diary management, mail management, preparing correspondence, coordinating complex meetings, minute taking, room and travel bookings;
• Organise meetings and events (including those with local sites and other external stakeholders), ensuring attendees receive accurate and timely information about arrangements and that agendas are circulated in advance:
• Provide high quality project, service, initiative and administrative support across the team including information and analysis.
• Undertake reporting and analysis of information to support delivery
• Be required to communicate complex, sensitive information with a range of staff internally and externally across the organisation.
The post holder is a key member of the team whose overarching goal is to enable, promote and support the effective use of data, information, knowledge and technology to improve, inform and support a portfolio of projects and services.

· The post holder will be required to maintain constructive relationships with a broad range of stakeholders.
· Work with members of the team to develop and implement project data collection systems that will provide accurate and timely data.

Detailed job description and main responsibilities
Delivering Results/Functional Responsibilities
· To support their function to deliver against agreed metrics aligned to values and demonstrating improvement where appropriate
· To work on own initiative, taking advice from manager as required; recognises their work is assessed regularly and embraces the positive aspects of this
· To provide timely advice, information or support to internal and external stakeholders around related function, adhering to policies, legislation, governance requirements and best practice guidance
· To gain co-operation and agreement from stakeholders, using effective communication skills including a degree of negotiation, persuasion or motivation skills where appropriate as part of the role
· To handle function specific information, which may be sensitive, complex or confidential and appropriately recording, transferring and/or co-ordinating such information in accordance with the Data Protection Act
· To make judgements on a range of issues relating to function, using own expertise and within responsibility level
· To plan and manage own workload to weekly, monthly and annual timescales to ensure continuity of service
· To plan and co-ordinate meetings, programmes or events involving senior managers and delegates from both internal and/or external organisations which require formulation of plans and delivery in agreed timeframes
· To provide day to day supervision of support staff ensuring all policies are adhered to and agreed objectives are monitored. Demonstrate a development culture throughout the supervision process
· To manage allocated financial responsibility, such as being an authorised signatory or ordering agreed stock. Deliver any delegated responsibility in accordance with financial rules
