The Digital Project Manager will lead on an agreed portfolio of projects/programmes that provide strategic or operational value through the application of technology aligned to the Partnership Strategy. Projects will cover clinical and business systems, technical, transformational/business change, application software or a combination of all elements.
The role will need to work closely with all other parts of Digital Services as well as the BEH Trust’s managed service provider (Atos) and other key suppliers to ensure the successful and seamless implementation of digital projects. Particular importance will be the need to work collaboratively with Trust operational and clinical colleagues, project sponsors, stakeholders, technology providers and all other personnel who have a role to play in delivery of the agreed business outcomes and benefits. Above all, the successful post holder must always demonstrate the highest levels of a customer service with clear focus on delivery.
There may be occasions when the post holder will be required to be work flexibly in order to support the team (e.g. working evenings/weekends) to meet the needs of the service.

The post holder will be expected to be proactive in communicating and co-ordinating correspondence and reports across a range of specialties, functions, and projects and with a range of organisations and individuals; as well as managing and leading several project activities simultaneously. It will be essential for the post holder to be able to prioritise tasks and balance conflicting priorities to meet project deadlines. They will be responsible for ensuring that the activities they are supporting are of the required level of quality and delivered to time and cost.

In order to meet the needs of the new Partnership services you may be required from time to time to work at different locations to your normal place of work. Programme and Project Management
• Lead a portfolio of projects in the digital workspace throughout the project lifecycle ensuring delivery against stated outcomes.
• Lead in the development of improved IMT project management disciplines through working with third party providers and key stakeholders.
• Develop and maintain robust project and implementation plans, detailing the actions required to meet project goals.
• Maintain close oversight of work programmes and escalate risks to ensure delivery stays on track.
• Ensure timescales and deliverables for projects are realistic and incorporate all necessary steps of the project, including responsibility for actions and progress of each action.
• Develop a communication plan to support the successful implementation of service improvements. This should include internal and external stakeholders, the information required by each person, and the timeliness of communication, to ensure smooth implementation of any changes.
• Build effective relationships with key suppliers establishing confidence and respect in often contentious pressurised situations
• Produce high quality written reports, presentations and summary updates providing information at the appropriate level of detail relevant to the audience.
• To lead the creation of PID documentation to help define project approach including scope, outcomes, objectives.
• Produce regular and detailed highlight reports for all projects.
• Take a structured approach to stakeholder management and communications, ensuring a targeted approach based on individual and group interests and drivers.
• Design an appropriate and proportionate project structure which will enable successful delivery including clarifying and documenting roles and responsibilities.
• Develop credible project plans in collaboration with others, identifying milestones, activities or products, timescales, resources, and stages.
• Deliver the project to the agreed business case to time, cost and quality and in accordance with the Partnership’s project management framework and processes.
• To ensure that the skills, knowledge base and learning from projects are shared externally and internally.
• To create an inclusive working environment where diversity is valued, everyone can contribute, and everyday action ensure we meet our duty to uphold and promote equality.
Planning and Organisation
• To provide, receive, interpret, and utilise complex and sensitive information from several systems.
• To identify barriers to project implementation and negotiating change or escalating issues as required.
• To drive the effective implementation of project plans to include the identification of risks and mitigating actions.
• To produce regular reports regarding project delivery.
Stakeholder Management and Communication
• Establish and maintain effective working relationships with the team and other key stakeholders including effective communication with senior managers and clinicians demonstrating a supportive and professional approach.
• Act in a professional and polite manner at all times.
• Proactively engage and contribute to programme and project meetings, leading and facilitating as appropriate.
• Work with members of the team, key stakeholders, and suppliers to investigate the causes of any variance from plan or delivery targets and contribute to the implementation of solutions.
• Communicate with the Project Team progress on key activities being managed. This will include preparing written project reports on areas for which the post holder is responsible.
• Communicate with tact, understanding and discretion with members of the public, external organisations, Senior Managers, and staff when dealing with enquiries and complaints often being the first point of contact for callers with a heightened anxiety, taking ownership of the call and escalating accordingly.
• Regular minute taking with an expected fast turnaround with efficient and prompt delivery when working with deadlines.
• Have confident and exceptional communication skills particularly when liaising with programme stakeholders.
People (HR) Management

• Responsible for maintaining and overseeing the development and maintenance of project systems and databases.
• Attend relevant project meetings (Board, workstream, workshop) and ensure actions recorded and implemented
• Preparation and presentation of Change Requests at the Change Advisory Board (CAB) in the event of proposed changes.
Policy and Service Improvements
• In support of projects and any service improvement initiatives, ensure the development and implementation of relevant policies, procedures, and standard operating procedures.
• Ensure appropriate project governance is in place for the duration of the project, and ensure risks, issues, assumptions and dependencies are known and understood by the project board and other leaders and stakeholders.
• Contribute to the development of the Digital Programme Management Office policies and procedures in support of excellent programme management practices across the Trust.
• Establish and maintain effective, accurate and where appropriate, confidential electronic filing systems, ensuring files and specific information can be easily retrieved, exploiting the use of SharePoint and MS Teams.
• Maintain timely and accurate outputs for all work, balancing continuous and intense work against an unpredictable pattern of daily operational demands.
• Respond to new demands in the role and to build those responses into sustainable systems and activities
• Adhere to all Trust financial policies including the proper creation and approval of relevant supplier purchase orders and invoices
• Produce regular highlight, exception and progress reports as required.
• Co-ordinate appropriate training on new functionality to enable users to realise benefits at the earliest opportunity and minimise disruption
Resource Management

Systems and Equipment
• Demonstrable competence in using Windows based software such as MS Office365 including Teams.
• Demonstrable experience in using project management methodologies such as Agile, Prince2 and tools such as MS Project.
• Effectively use IT applications including all aspects of Microsoft applications to produce accurate and well-presented documentation and presentations
• Use of Trust IT systems, e.g. financial and procurement system, RiO, eRostering/MAPs, ServiceNOW
Effort, Mental and Environment
• Requires concentration frequently when working on project related activities such as business cases, project planning, financial reports, which will influence the overall delivery of the project.
• Repetitive tasks to be carried out frequently such as coordination efforts with users who are remote and on-site.
• Time driven projects will require constant management of project related activities, 3rd party engagements and negotiations, direct interaction with users with technology related issues and
• escalations.
