Who are we?
Older People’s Medicine (OPM) is one of the largest medicine specialities at the NNUH, caring for patients aged 70 and above. It is home to the UK’s first Older People’s Emergency Department (OPED). OPM also offers an “admission avoidance” service (OPAS) which allows health care professionals to refer patients to be seen by a Geriatrician within 48 hours of referral. OPM also offers dedicated clinics to patients with movement disorders, such as Parkinson’s Disease.

Who we’re looking for?
We are looking for a caring and motivated Senior Receptionist and MDC Database Administrator to be a member of a truly collaborative and hardworking team to provide administrative support to our busy department. Key roles will include but not limited to; recording referrals, booking appointments, answering telephones and dealing with queries efficiently, prepping clinics, updating and maintaining the Movement Disorder Clinic (MDC) database, outcoming clinics, assisting clinicians with ad-hoc queries, booking of outpatient clinic appointments, maintaining a general overview of clinic capacity/bookings and assisting in the day-to-day running of the OPM reception.
The post holder will provide a high quality reception and support service within the Outpatients Department, and as such, will need to be able to communicate well with patients and their relatives, the general public and a wide range of multi-professional staff, internal and external to the Trust. In order to provide a support service to the technical staff, a versatile approach is essential and the ability to cope with a large number of different tasks simultaneously is a prerequisite of this post.
The Receptionist is responsible for ensuring the correct and timely input of patient information onto the Patient Administration System (PAS), observing the rules of ‘real time data entry’.

- To provide a support service to the technical, secretarial, medical and nursing staff of the Department.
- To carry out receptionist duties, including prioritising and arranging appointments and maintaining the various appointment systems, identifying test requests and investigations, and co-ordinating the various clinics within the department.
- To deal with patients and external and internal staff enquiries in person or via the telephone, in a courteous and confidential manner and provide assistance as required.
- To ensure patients safety and well-being in the waiting area prior to them being called for their appointment and alerting appropriate staff to any cause for concern.
- To keep a log of telephone requests for investigations in line with department policy, prioritising these and ensuring messages are conveyed to the appropriate technical staff.
- To ensure appointment lists are maintained and prepared in readiness for clinical work.
- To obtain and prepare notes in readiness for clinics, investigations or at the request of staff within the department.
- To maintain a record of the transfer of notes to and from the department.
- To understand the 18 Week Pathway, input the correct RTT codes and validate the patient pathway where appropriate.
- To liaise with Secretaries and other departments within the Trust as necessary to ensure case notes and referrals are available for every patient attending an outpatient clinic. Liaise with external stakeholders to obtain referrals if necessary.

Travelling to work
Staff parking is available onsite; however, this is limited during core working hours. We have more capacity in the evening and at weekends and can usually provide spaces during those hours.
We look to allocate these spaces fairly. Our Travel Office have a set of criteria that staff must meet in order to qualify. If you qualify for a space, you may be placed on a waiting list if we are at full capacity.
The NNUH is served by a number of public buses, and we offer generously discounted monthly passes with First Bus & Konect.
The Costessey Park and Ride runs regularly each day from 06:30 (from P&R) to 20:45 (from NNUH) and this service is free for NHS staff. There is a regular Thickthorn P&R service as well which is free. Applications to the Travel Office are required for this service. We also have a discounted service from the airport P&R if you purchase a bundle. Please see Konect website for further details.
The NNUH host multiple bicycle racks and a salary sacrifice scheme. We also benefit from a Beryl station onsite.
