Job overview
The role supports the Associate Director of Corporate Services and the Corporate Business Manager to provide high quality project and administrative support to the ICB’s business functions. The post holder must be able to recognise the importance of confidentiality and sensitivity of issues and at all times is able to act using the utmost discretion.
This role will be in two parts:
Business Support to corporate initiatives/projects and support to corporate work across the ICB (to be determined)
Site Management/issues (must be able to get to all sites)
There will be a requirement to be on site for site related issues at least 3 times a week.

To work with little supervision and prioritise on a daily basis to ensure the smooth running of the corporate functions and office systems.
Site management will include maintaining IT equipment across sites , working with sites to ensure replacement of faulty equipment and ensuring new starters have the right equipment including laptops and mobile phones.
This role will also be very active in the Health & Safety Agenda across the whole of the ICB.

Detailed job description and main responsibilities
Communicate with tact, understanding and discretion with members of the public/patients/carers when dealing with enquiries/complaints, particularly in relation to Subject Access Requests.
Prepare and distribute agendas and papers for meetings and in accordance with ICB policies, procedures, and timescales. Take accurate minutes of formal meetings in a timely fashion, ensuring that all follow-up action is taken.
Work with the Corporate Business Manager on the maintenance of Datix across the ICB
Work with the Corporate Business Manager on Incident Management ensuring records are in place and actions are followed up.
Co-ordinate and manage overview of Corporate Expenditure on the Associate Director of Corporate Services pre-payment card.
Provide cross cover to Executive Assistants and CEO office during periods of absence and leave.
Provide corporate support to specific pieces of work across the ICB in place as and when required, as directed by the Associate Director of Corporate Services (such as Date Custodian Activities/Staff Forum updates)
Arrange access passes/fobs to sites.
Maintain the ICB asset register.
Ensure printers/franking machines etc are operational and contracts are negotiated across the ICB in a timely manner.
Ensure site storage areas are maintained and organised at all times.
Be part of the ICB’s Fire Warden team.
Be part of the ICB’s First Aider team.
Work with the Corporate Business Manager on Health & Safety plans across all ICB sites including maintaining Business Continuity Plans.
Act as the Data Custodian for the Corporate Team working on the Information Governance activities across the ICB.
Attend all Staff Forums to ensure there is a thread through them all for site issues.
To support corporate meetings, room set up etc as and when required.
Deputise for the Corporate Business Manager when required.

- Knowledge of administrative procedures, project management or information analysis
- Previously worked in similar position within the public sector
