The Information governance team is responsible for providing data protection and information governance assurance across Medway community healthcare (MCH). You will be ensuring that MCH meets its legal obligations set out by the data protection regulator, the information commissioner’s office, including paying the annual data protection registration fee.
Advert
- Assisting and supporting the IG team to ensure requests for information are handled in line with MCH’s internal processes and policies. This includes subject access requests (from both patients and staff), requests for information from the police, coroner, insurance companies, solicitors and more. This includes reviewing and redacting records.
- Assist on delivering data security and protection training across the organisation.
- Assist on the information governance audit programme, ensuring that good practice is embedded across the organisation.
- Assist the IG manager with the submission and completion of the DSPT on an annual basis.
- Assist the IG manager and/or DPO with any complaints or concerns raised by data subjects over their personal information.
- Assist the IG manager and/or DPO with reviewing or creating data sharing agreements with an external organisation to ensure legal obligations are followed when sharing information.
- Assisting the IG Facilitator with ensuring information asset registers and information flow mapping exercises are regularly reviewed and updated.
- Assist the IG team with reviewing or creating data protection impact assessments (DPIAs) to ensure that legal obligations are fulfilled when MCH starts or changes a new or existing project.
- Assist with any serious incident investigation or reporting, including managing correspondence from the information commissioner’s office, escalating any issues to the IG manager and/or DPO.

1. Communication and relationship skills
§ The postholder is required to provide complex and sensitive information with regards to information governance to internal and external stakeholders where required.
§ The postholder will select and use the most appropriate form of communication to ensure that the messages being communicated are fully understood by their audience, and can be used to come to informed judgements on the issues under discussion.
§ The postholder will be the first point of contact for the public (patients, as well as solicitors and insurance companies) who have contacted the MCH data protection team, by phone or email;
§ The postholder will have good influencing skills in order to persuade all employees of the importance of information governance;
§ The postholder will have the ability to influence those over whom they do not have line management responsibility in order to deliver key organisational projects and priorities.
§ The postholder will have the ability to write clear and succinct briefings, presentations and reports.
§ The postholder will ensure good communication and rapport with other senior IG roles, including the SIRO, caldicott guardian, and DPO.
2. Knowledge, training and experience
§ The postholder will have experience of work within an NHS setting; and will have continued to develop their skills and expertise through programme of on-going personal development.
§ The postholder will have a basic understanding / knowledge of information governance and data protection principles.
§ The postholder will have good project management skills, with experience of managing programmes with competing timescales including a range of stakeholders.
§ The postholder will have experience of using electronic patient records systems, such as RIO, EMIS, CHS, adastra and any others relevant.
§ The postholder will have experience of populating and updating databases.
§ The post holder will be proficient in the use of standard microsoft office applications.
§ The postholder will be confident in their skills and knowledge base, but able to clearly articulate the limits of this to colleagues, and seek appropriate advice and support where this is necessary for the successful conclusion of a project.
§ The post holder will have knowledge of the healthcare industry or NHS as a whole.
3. Analytical and judgement skills
§ The postholder will have excellent time management skills when dealing with subject access requests with tight deadlines;
§ The postholder will have the ability to identify where they do not have sufficient information to reach robust conclusions on an issue, and to escalate any issues to a senior member of the team when required;
§ The postholder will have the ability to generate solutions and options to problems to ensure that programmes are delivered to time and within budget.
§ The postholder will be able to provide a robust defence for their recommended course of action, but be prepared to modify it in response to new information or the expert advice of others.
4. Planning and organisational skills
§ The postholder will work with the IG team to ensure MCH complies with data protection legislation and rules;
§ The postholder will have the ability and experience to complete work without direct supervision.
§ The postholder will have the skills and expertise to ensure that agreed plans are delivered, particularly where they do not have line management responsibility for those delivering the work.
§ The postholder will assist the IG team’s input to tenders and the mobilisation of new services, ensuring that all deadlines are met.
§ The postholder will have the ability to plan their own workload in order to deliver key targets/timescales.
5. Physical skills
§ The postholder will have advanced keyboard skills.
§ The postholder will have advanced use of a range of relevant IT packages.
§ The postholder will have the ability to operate audio-visual equipment.
§ The postholder will be required to travel between sites to meetings and event.
6. Responsibility for patient / client care
§ The postholder will have no direct responsibility for patient care, but will be required to assist patients appropriately during incidental contact.
§ The work undertaken by the postholder may have a direct impact on the organisations ability to provide clinical service, and as such the postholder is required to conduct himself or herself with the utmost propriety.
7. Responsibility for policy and service development implementation
§ The postholder will assist with the review and development of policies and procedures for the organisation with regards to information governance.
§ The postholder will assist and ensure the directorate contributes appropriately to the development of organisation-wide policies and procedures.
8. Responsibilities for financial and physical resources
§ The postholder will not be responsible for budgets;
§ The postholder will submit their own timesheets and travel claims accurately and in a timely manner.
§ The postholder will avoid resource and time-waste wherever possible.
9. Responsibilities for human resources (HR)
§ The postholder will assist with providing information governance training to all staff where required along with any training relating to the projects they are managing.
§ The postholder will be responsible for projects delivered by staff for which they do not have line management responsibility, and will be expected to do so with due regard for the requirements of their line manager and organisational policies and procedures.
§ The postholder will recognise and understand the impact of organisational change on teams and individuals, and will seek to develop strategies to support members of project teams they are working with through such changes.
10. Responsibilities for information resources
§ The postholder will ensure that relevant information that support decisions about information governance is filed and stored appropriately so it can be audited.
§ The postholder will ensure that all information collected and held by the directorate is stored in a confidential and appropriate manner and is destroyed in line with statutory requirements.
11. Responsibilities for research and development (R&D)
§ The postholder will undertake relevant audits within their areas of responsibility.
§ The postholder will undertake surveys that support the development and implementation of their projects and/or the development of the directorate.
12. Freedom to act
§ The postholder will have the ability and experience to complete projects without direct supervision.
§ The postholder will have the ability to make recommendations that ensure that their projects are delivered to time and budget, and to the highest possible level of quality.
§ The postholder will have the ability and experience to recognise when issues and risks are jeopardising the delivery of a project and escalate these issues to a more senior colleague when necessary.
