Apprentice Medical Secretary - Band 3 Substantive
We are looking for a reliable and enthusiastic individual with excellent organisational and administrative skills to provide an efficient secretarial service to the D&E Department at Southmead Hospital.
Important - Please note to be eligible for the apprenticeship you must be:
• Over the age of 16
• Have lived in the UK/EEA for the past 3 years
• Have the right to work and reside in the UK, which is not granted for education purposes (education visa)
• Have enough time remaining before the expiry of their current visa to allow full completion of the apprenticeship programme including EPA.
• Not be currently studying any other form of qualification

The post holder must have extremely good computer and communication skills, as well as being a team player and have an ability to use their own initiative. Being an extremely busy department, the ability to work under pressure and be able to prioritise changing workloads is absolutely essential for this role.
Previous administrative experience is essential and experience in a Medical Secretary role with knowledge of medical terminology would be an advantage.
This role includes the study of the nationally recognised apprenticeship standard - Level 2 Customer Service Practitioner and will include:
- Gaining a nationally recognised qualification via our dedicated onsite Apprenticeship Centre.
- Having dedicated 1:1 tutor meetings monthly, and attending classroom lessons on site at our at Learning and Research building every month.
- Gaining knowledge of the structure, function, and values of the NHS and an understanding the scope of their role within customer service
- Developing skills to identify customer needs, preferences, and expectations, and how this can enhancing the overall customer experience through effective communication and problem-solving, as well as much more.
- A wide range of support resources available to you, and time given to study and attend lessons. As well as access to peer and mentor support.

Detailed job description and main responsibilities
• To accurately and efficiently type clinics using audio in a timely manner.
• To provide admin support to the Diabetes & Endocrinology Specialist Nurse team
• To raise any queries relating to specific patient letters or the overall clinic with the appropriate Consultant/ Doctor or Secretary.
• To ensure any actions in dictated correspondence are passed for action to the appropriate personnel.
• To accurately trace patient notes from one location to another on the electronic patient record system.
• To carry out other clerical activities as required, such as photocopying, filing, sorting, and distributing letters etc.
• To answer queries relevant to role from administrative and clinical staff in a professional and courteous manner, referring on to a relevant staff member if necessary.
• To work in partnership with Consultants/Nurses and wider secretarial team.
• To provide cross-cover for colleagues during times of absence.
• To ensure the process is followed for patients who have cancelled or not attended their appointment, including return to GP where appropriate.
• To carry out other reasonable duties, appropriate to the grade, as agreed between the post holder and Speciality Manager
• Willingness to undertake further training and development.
• To be able to plan, prioritise and manage own workload daily.
• To work independently, using own initiative and to escalate any queries to appropriate line managers.
• To be a point of contact and provide support with enquiries to the wider team.
