Job overview
Essentially, we are looking for a good standard of general education along with previous experience of dealing with patients or customers, and a good level of computer literacy.
We would expect the candidate to be a good team player with a flexible approach to work, providing assistance to your colleagues and cover for sickness and annual leave, helping to ensure an effective administrative service at all times.
The post would be based at the Urmston Clinic in Trafford. The Northern service operates across Greater Manchester so a need for flexibility is required to meet the demands of the service. The postholder would also join receptionists across the service in a Saturday rota to support the Hathersage Centre, MRI. The commitment to this would be 4 hours approximately once every 10 weeks.

Advert
Greet all visitors attending the reception area, ascertain their requirements and respond to those requirements accordingly.
Clarify demographics for every patient contact face to face and via telephone and ensure systems are updated regularly.
Enter clinic attendances and outcomes onto INFORM in the identified timescales and to the identified standards.
Book appointments, update attendances and action referrals.
Maintain the reception and waiting area to an orderly state at all times.
Answer telephone calls courteously and politely, direct enquiries appropriately and take messages as necessary. Liaise with other departments where appropriate.
Arrange and respond to Interpreter requests as directed. Maintain the confidentiality, safety and security of the reception area reporting any adverse matters to senior staff.

Essential criteria
- Educated to GCSE standard grades A-C English and Maths or equivalent experience
- Exposure or experience in administrative tasks or office environments, demonstrating a foundational understanding of administrative responsibilities.
- Ability to handle assigned tasks, prioritise work, and meet deadlines under supervision in a structured office setting.
- Clear and polite communication skills, both written and verbal, to interact with colleagues and patients professionally.
- Attention to detail to ensure accuracy in administrative duties such as telephone enquiries, reception cover, filing, data entry, and record keeping.
- Capacity to identify issues, seek guidance when necessary, and contribute to problem-solving efforts within a team.
- Basic understanding of time management principles to complete assigned tasks efficiently and effectively.
- Familiarity with basic office software (e.g., word processing, spreadsheet) and willingness to learn new software tools as required.
- Understanding of the importance of maintaining confidentiality and handling sensitive information with discretion and integrity.
- Flexibility to adapt to changing priorities, procedures, and environments in a dynamic workplace.

Desirable criteria
- Prior experience as an Administrative Assistant or Clerical Officer in a hospital setting, demonstrating proficiency in healthcare specific administrative tasks.
- Familiarity with healthcare information systems and administrative software commonly used in hospitals (e.g., Electronic Health Records, Hospital Information Systems)to facilitate data management and reporting.
- Understands the Sexual Medicine, HIV, and Contraception speciality, with a focus on supporting patients and staff in these areas.
