Job overview
An exciting opportunity has arisen within Urology for an enthusiastic, self-motivated and hard-working experienced Senior Medical Secretary/Team Leader to join our admin team.
The Urology Department at Freeman Hospital is one of the leading providers of urology services in the UK. We cater to patients in the Northeast - around Newcastle upon Tyne and extending into Cumbria and the Scottish borders.
The successful applicant will have first level line management responsibilities within a team of Medical Secretaries, Clinical Administrators and Admin Assistant’s. Working within a team of established Senior Secretaries/Team Leads.
The successful applicant should have excellent customer care and communication skills, a confident telephone manner, good IT skills, attention to detail, excellent organisational skills, have the ability to use their own initiative and have previous experience of working in a fast-paced office environment.
Working well as part of a team and a positive proactive attitude is essential.
You will be expected to organise and prioritise your own workload and this will require you to be flexible and adaptable to meet the changing needs of the service.

- Contribute to recruitment, training and development of the team. Set an example by mentoring and supporting colleagues to achieve their best.
- Be responsible for accurately tracking patients through their Urology pathway ensuring appointments and or investigations are booked, reports are expedited in a timely manner and medical staff are kept up to date.
- Type, print and send necessary patient correspondence in an effective and timely manner via audiotyping and or digital technology.
- Play a vital role in co-ordinating, organising and booking patients via our e-referral service.

Detailed job description and main responsibilities
- Responsible for the organisation of secretarial support to Consultants, Junior Medical Staff and other clinical staff within the Consultants team i.e. Specialist Nurses.
- Responsible for the day to day management of the administrative/secretarial team, including supervision of the administrative staff, delegation of tasks and co-ordination of annual leave and undertake appraisals of junior staff.
- Contribute to a comprehensive efficient and effective administrative and clerical service.
- Contribute to a consistently high standard of patient care as a member of a multi-disciplinary team.
- Cover Senior Medical Secretary posts Trust wide as required.

- • NVQ Level IV Business Administration or Diploma qualifications or equivalent level qualification / relevant experience
- • English Language qualification GCSE Grade 4 (or above) or equivalent level qualification / relevant experience
Knowledge & Experience

- • Experience of Healthcare (patient related) secretarial procedures including NHS systems
- • Experience as Medical Secretary
- • Extensive knowledge of Medical Terminology
- • Audio typing experience
