Job overview
The Quality & Engagement & Centre Administrator will be responsible for the day to day running of the education centre as well as providing administrative support to the Quality team.
This role requires someone who is friendly, organised, professional, and committed to delivering a high‑quality service. This role will be based on site at our education centre that provides training and meeting rooms for the purpose of education and training and also houses the offices of the education teams.
Our Clinical education teams help support learners whilst they are in posts or on placements within the Trust. This role will support the quality assurance programme to ensure that all learners have a high-quality experience within a safe learning environment. This role will also co-ordinate the day to day running of the education centre including room bookings and procurement. The post holder will be the first point of contact for reception queries from internal and external colleagues.
The post holder will be required to have excellent customer service skills and as this role can sometimes be fast paced and unpredictable you will need to have the ability to manage your workload effectively.

DUTIES AND RESPONSIBILITIES
Education Centre Duties
- Support the Quality, Engagement & Centre Team Leader with the running of the Education Centre
- Provide an excellent customer service approach, responsibility for room bookings and room co-ordination
- Provide administration support to the Medical Education Team
- Communicate with external bodies to ensure sponsorship of induction sessions for Resident Doctors in Training in a timely manner
- Utilise the eProcurement finance system, creating requisitions, invoicing appropriately and liaising with accounts regarding invoice/PO allocation.
- There may be the occasional requirements to support event outside of core hours.
Quality Duties
- Distribution of national and in house surveys to resident doctors in training, non-medical students and undergraduate medical students
- Assist with the quality assurance programmes including admin support and the arranging of focus groups/drop-in sessions
Engagement Duties
- Support in the organisation of Clinical Education activities and the teams internal and external events including open days, promotional displays, awards ceremonies, etc.
- Assist in the production of high-quality information and materials for Clinical Education Activities including promotion materials and the photography and video recording of events etc.
- Share content appropriately across the Trust
- Assist in the development and maintenance of the Clinical education SharePoint and digital technologies for communication and engagement, including creating content.
- Support essential administration functions within the Clinical Education team including taking responsibility for databases, contacts directories, photo library, etc.
- Adhere to the Trust’s and NHS corporate identity guidelines.
- Produce daily, weekly, and monthly staff information bulletins / publications / e-blasts.
Team Working
- Develop and maintain close working relationships with contacts with the Clinical Education team and other internal stakeholders.
- Liaise effectively with external stakeholders.
Photography
- Take photographs for communication and media initiatives / events.
- Maintain and develop a photo library.
General
- Be able to work independently and use initiative to ensure the work is covered efficiently and effectively to a high standard that reflects and upholds the professional image of the service and Trust.
- Provide comprehensive administrative support to the medical education teams utilising all Microsoft packages.
- Provide cover for colleagues as required across Clinical Education.
