Job overview
An exciting opportunity has arisen to join the Neurosurgery department within the National Hospital for Neurology and Neurosurgery. We are seeking a full-time Administration Coordinator to join our team, to carefully manage admissions processes including both surgical and non-surgical booking, as well as manage patient pathways within the Neurosurgery Department.
We are looking for an individual with strong communication and interpersonal skills as well as the ability to work well under pressure and meet the challenges of working to deadlines. A successful candidate will be a team player with good organisational skills, flexibility, and the ability to work autonomously. They will be dedicated to delivering a positive patient experience, manage complex surgical admissions, work closely with our Neurosurgeons to ensure theatre utilisation, working with our admin team to ensure outpatients clinics are booked and prepped, excellent customer service and effective support to the multi-disciplinary team.

The Administration Coordinator will work as part of the Neurosurgery Admissions Team with the support of a Team Leader managing our busy surgical admissions for Neurosurgery .
The main duties of the role will include, but are not limited to:
• Monitoring and reviewing the team email inbox;
• Corresponding and effectively communicating with patients, including via telephone and letter, regarding their care and admission;
• Managing admission booking including pre-assessment
• Liaising with a wide variety of clinical teams and other departments within the hospital, such as Theatres, Pre-assessment and Radiology;
• Establishing good relationships and effective communication with medical and nursing staff and allied-health professionals;
• Manage patient bookings and ensuring good record keeping using the Trust’s electronic record system (Epic);
• Supporting and maintaining patient flow through the Hospital;
• Attendance at the daily bed meetings;
• Managing queries for consultants
• Manage waiting lists and RTT performance
• Participating in the monthly Team meeting.

Knowledge and Qualifications
Essential criteria
- Educated to GCSE level or equivalent, with Grade C or above in English and Maths.
- Knowledge of the full range of administrative procedures, acquired through training and previous experience of working in an administrative environment.
- Awareness of the requirement to maintain confidentiality, and knowledge of the Data Protection Act.
Desirable criteria
- NVQ Level 4 in Business Administration, Customer Service, Healthcare Support Services or equivalent qualification.
Experience
Essential criteria
- Experience of working in a nonroutine environment, with demonstrable evidence of problem solving and resolving issues as they arise (acquired through experience and/or training to Vocational level 4 or equivalent).
- Experience of working in a customer facing environment, resolving queries and using initiative to ensure first-class service delivery.
Desirable criteria
- Previous NHS experience, or experience of working in a healthcare setting.
